A wedding in Navi Mumbai involves decisions that depend on each other: the legal route and date options shape the calendar, the guest range and budget shape the venue, and the venue shapes what a caterer can do. This page sets out the stages, gives you worksheets to fill in with your own figures, and sends you to the detailed guide for each topic. It does not quote prices or recommend vendors.
Quick answer: before you pay any deposit, settle your marriage route, date options, event format, guest range and budget. Shortlist venues first, but confirm catering arrangements and the combined cost before a non-refundable deposit. There is no single booking timetable for every wedding, so check supplier availability early, and separately confirm the residence, notice, appointment and registration requirements for your legal route.
The stages
| Stage | What to establish |
|---|---|
| Before deposits | Marriage route, date options, event format, guest range and budget |
| Venue and catering assessment | Availability, capacity, catering restrictions and the combined cost |
| Supplier bookings | Written scope, named team, payment schedule and cancellation terms |
| Guest arrangements | Accommodation, travel, accessibility and dietary requirements |
| Final coordination | Confirmed headcount, event schedule, contacts and a contingency plan |
| Legal completion | The appointments and deadlines of your applicable route, planned in parallel from the start |
Before deposits: route, date, format, guests and budget
Start with the legal route, because some routes have waiting periods that affect the date you can choose. Our marriage registration guide explains the routes in detail: local registration of a marriage already performed, solemnisation under the Special Marriage Act, 1954, and registration of an existing marriage under that Act. The Department of Registration and Stamps’ own explainer describes the two main routes in the state, and its marriage registration page and the eMarriage 2.0 portal are the official starting points.
If you plan to marry under the Special Marriage Act, the text of the Act, which you can read in this reproduction, says two things that matter for planning. Section 5 requires notice to the Marriage Officer of the district in which at least one of you has lived for not less than thirty days immediately before the notice. Section 7 allows objections for thirty days after the notice is published, and the marriage may be solemnised after that period unless it has been objected to. Check these with the Marriage Officer before you fix a ceremony date.
- Date options: choose a first date and at least one alternative, because a venue that is full on one day may be free on another.
- Event format: decide whether the ceremony and the meal are in one place, and whether the event is indoors, outdoors or both.
- Guest range: write down a likely number and a ceiling, and keep four different numbers apart: expected attendance, seated capacity for your chosen layout, the guaranteed catering count, and the maximum permitted occupancy. They are not interchangeable.
- Budget: use the worksheet below and fill it in as quotations arrive.
Budget worksheet
Enter each quotation in writing, not a verbal estimate. This worksheet has no prices because rates differ by venue, menu, season and guest count.
| Budget item | Quoted total | Included elsewhere? | Paid | Balance | Due date |
|---|---|---|---|---|---|
| Venue | |||||
| Catering and beverages | |||||
| Decor, lighting and sound | |||||
| Photography and video | |||||
| Clothing and personal appointments | |||||
| Guest accommodation and transport | |||||
| Ceremony and registration costs | |||||
| Other agreed charges |
- Count package inclusions once. If the venue quotation includes decor, do not enter it again under decor.
- Record refundable security deposits separately from final spending.
- Keep a reserve for changes, and decide its size yourself, since no universal percentage fits every wedding.
Assess the venue and catering together
Shortlist venues first, but confirm catering arrangements and the combined cost before paying a non-refundable deposit. A venue may bar outside caterers, may require a minimum catering spend, may charge extra for an outside caterer, or may have a kitchen that does not suit your menu. Our wedding venues guide covers hotels and banquet halls in Navi Mumbai, how seating and capacity terms are used, how to get comparable quotations, and a contract checklist covering the advance, payment schedule, cancellation terms and whether the contract names the exact hall or lawn.
Quotations may use per person charges, fixed venue hire, minimum guarantees, packages or a combination. Ask how each charge changes with guest numbers, and ask whether GST applies and how it appears on the quotation.
The wedding caterer guide explains the checks to make before you pay a caterer an advance: the FSSAI licence or registration, which FSSAI says caterers for marriages and parties must hold, who will cook and in which kitchen, a tasting, and a written menu with headcount terms, taxes and payment terms.
Permissions: ask who is responsible
Ask the venue which permissions apply to your event, who is responsible for obtaining them, what the approval covers and when you will receive confirmation. Do not assume that every wedding needs the same approvals, or that a venue’s general licence covers every activity you plan.
- Alcohol: Maharashtra State Excise lists a temporary function licence service on its website. Ask whether your event needs one and who applies for it.
- Loudspeakers and music: an order of the National Green Tribunal’s Western Zone Bench at Pune, hosted on the Maharashtra Pollution Control Board website, says marriage halls and lawns should not use loudspeakers or firecrackers without specific written permission from the competent authority under the Noise Rules, 2000 or other applicable law. Ask the venue what applies at its location and what time music must stop.
Supplier checklist
These categories need a decision in most weddings. For each one, write down what you need delivered, who is responsible for booking it and by when.
| Supplier or task | What to specify | Who books it | Deadline |
|---|---|---|---|
| Photography and video | Coverage hours, team size, deliverables, delivery dates and permission to publish photographs | ||
| Decor and flowers | What is included in the venue price, what is extra, and who sets up and removes it | ||
| Sound, lighting and entertainment | Equipment, operator, permissions and the end time | ||
| Ceremony arrangements | The priest or officiant, any materials needed, and the venue’s rules for the ceremony | ||
| Guest accommodation | Rooms, check in times and luggage arrangements | ||
| Transport | Pick ups, drop offs and return transfers | ||
| Bridal and groom appointments | Named artist or team, trial, inclusions, ready by time, deposit and cancellation. See the salons and spas guide | ||
| On the day coordinator | One person who knows the schedule and the supplier contacts |
Outdoor events and venue contingencies
For an outdoor event, ask these questions and get the answers in writing:
- What is the indoor alternative, and can it hold your intended layout and attendance?
- When is the decision to move indoors made, and who makes it?
- Who pays any extra setup cost, and what happens if the alternative space is unavailable?
- Are there usable toilets, emergency exits, power arrangements and loading access for suppliers?
- How will older guests and guests with limited mobility reach the seating and the toilets?
The winter planning guide and the air quality guide explain what to check before an outdoor plan in the cooler months.
Guest arrangements
- Confirm each guest’s actual arrival airport, terminal, flight and arrival date before arranging transfers. Send the driver the confirmed airport and terminal details, not simply “Mumbai airport”. The comparison of the two Mumbai airports, the airport guide and the guide to reaching the airport explain the difference.
- Add check in times, luggage arrangements and return transfers for guests staying overnight.
- Collect dietary needs and accessibility needs from guests early, and pass them to the caterer and the venue.
- Within the city, the local train guide and the auto and taxi fares guide explain the options.
Ceremony at a place of worship
The places of worship guide lists temples, churches, mosques and other places by area, with the contact details each one publishes. A listing does not mean the institution conducts weddings. Confirm directly whether it conducts your intended ceremony, its eligibility and booking requirements, and what documents or permissions it asks for.
Legal completion
Registration is separate from the ceremony and from the vendors above, and its timing depends on your route. The Department of Registration and Stamps’ explainer says the Supreme Court has held that registration of marriages is compulsory, and that a marriage is not void for being unregistered but then lacks official proof. Use the marriage registration guide for the routes, the competent office and the documents. Confirm:
- Which route applies, and which Registrar or Marriage Officer is competent for it.
- Which documents and witnesses are needed, and whether both of you must attend in person.
- The current charges, from the office.
- What form of copy the school, bank, embassy or employer will accept for the certificate.

Questions to put to every vendor
- What exactly is included in the price, and what costs extra?
- What is the advance, and what is refundable if I cancel or change the date?
- Who will be there on the day, and can I have their name and number?
- What happens if something changes, such as the guest count, the timing or the weather?
- Can you put all of this in writing?
Frequently Asked Questions
Which should I book first, the venue or the caterer?
Shortlist venues first, but confirm catering arrangements and the combined cost before paying a non-refundable deposit. A venue may restrict outside caterers, set a catering minimum or charge extra for an outside caterer.
How far ahead should I book?
There is no single booking timetable for every wedding. Check supplier availability early, and separately confirm the residence, notice, appointment and registration requirements for your legal route.
Do I need to register the marriage after a religious ceremony?
A religious ceremony does not by itself complete the applicable civil registration process. Where Maharashtra’s 1998 Act applies, it provides a registration requirement and timetable. Confirm the applicable law and the competent Registrar, and plan the documents and witness attendance accordingly.
Which office registers marriages in Navi Mumbai?
First identify the legal route. Local registration involves the competent Registrar, and Special Marriage Act procedures involve the competent Marriage Officer. Address and residence rules help decide jurisdiction, but municipal boundaries alone do not identify the office for every route.
Who arranges permissions for music or alcohol at the venue?
Ask the venue which permissions apply to your event, who is responsible for obtaining them, what the approval covers and when you will receive confirmation. Do not assume a venue’s general licence covers every activity.
Does this page recommend vendors?
No. It sets out the stages, gives worksheets and links to our detailed guides, which explain how to compare vendors and what to ask. Check each vendor’s current terms yourself.
